Join the Geocaching Hampton Roads Group for their 6th Annual Picnic!

When: Saturday, August 30th (Labor Day Weekend)
Time: 9:00 am until 6:00 pm
Where: Newport News Park Shelters 10, 11, and 12
Who: Open to all geocachers, families, and anyone interested in geocaching
What: A social get together to meet fellow cachers, exchange stories, learn about different aspects of caching, exchange TB’s, oh yeah, and some caching thrown in there too….

Newport News Park is an 8,000 acre park with two fresh water reservoirs is one of the largest municipal parks east of the Mississippi. It features bicycle and boat rental, 188-site campground, golf course, horse show arena, interpretive programs, wildlife rehabilitation center, picnic shelters, playground, restrooms, stages, 30 miles of hiking trails, 5-mile mountain bike trail, and 5.3 mile bikeway, picnic shelters, and much much more!!! Personal boats (no gas motors) may be launched for a $4.00 fee.

Targeted timeline of events (subject to change of course, as things usually do….)
9:00 - Event Starts
9:30 - Start of Geo-Bingo, Turkey Shoot, Coin Sales, 50/50 Raffle, Chance Auction
9:30 - 11:30 - Cache Toss with Chico
Noon - Lunch - We'll provide Fried Chicken, and BBQ
1:00 - 3:00 - Basic Geocaching Class with Chico and Brenda in the Camp Activity Building
1:30 - All TB Racers must be checked in
2:00 - Turkey Shoot ends
1:00 - 4:00 - Children's Activity - "Cache Camp" with LeoCaptKirk!**
3:30 - TB Racers will be distributed
4:30 - GROUP PICTURE
5:00 - Chance Auction ends and 50/50 Raffle Drawing, GeoBingo Drawing, Turkey Shoot winner announced
6:00 - Official Event ends
**Please note that the "Cache Camp" for kids is not a babysitting service.  Please supervise your children at all times.

We'll provide the main dish, and ask that geocachers bring some potluck side dishes.


Activities throughout the day:

  • "Geo-Bingo"!  Join CraZy Cache for this super fun game.  This is the best way to meet others at the event and to get to know fellow cachers even better.  Turn in your completed Geo-Bingo pages by 5:00pm and a drawing will be held for a prize!
  • Great Scott's "Turkey Shoot". - Use your GPS to mark a waypoint at the pre-designated spot. 2 minutes max time will be allowed for marking the waypoint and one entry per geocacher. All entries will be averaged together. The geocacher that is closest to the average, wins a prize.  Get entry forms from Great Scott! and return them to him by 2:00 pm.  Winner to be announced at 5:00pm.
  • "Cache Toss" with 2UnusualSuspect!  Separate contests for children and adults.  See how far you can throw an ammo can.  Sounds easy, right?  Not if it's full of SAND!  Stop by at your own pace between 9:30am and 11:30am to try this out!
  • 50/50 Raffle to help offset costs. Drawing will be held at 5:00pm.  
  • Chance Auction - A new twist on an old favorite.  Items will be on a display table with paper bags in front of them.  Buy tickets, and place tickets in the bag in front of the item you'd like a chance to win.  An item you really want??  Buy more tickets, and put them all in one bag increasing your odds.  Tickets will be drawn at 5:00pm.   Tickets will be on sale throughout the day.
  • "Cache Camp" for kids with LeoCaptKirk.  1:00pm - 4:00pm in Shelter #12! Geocaching related coloring books, cache containers with glue and cammo cloth to decorate their own containers, and some planned activities at 3:00pm including
    • 3-legged race. Teams of two, one race for teams with at least one child under the age of 12, and one race for teams consisting of two members 12 or older.
    • Water Balloon Toss. Teams of two, one toss for teams with at least one child under the age of 12, and one toss for teams consisting of two members 12 or older.
    • Wacky Clothes Race. Teams of four. Any age.
    • Pinata. Under 12 only.
    Sign up by 2:30. Parents - please supervise your children during these activities.

Bugs and Coins:
There will be a TB exchange area to drop off and pick up travel bugs to help them towards their goals. There will also be a designated area that all coin enthusiasts can gather to share/trade their collections with others.
Please do not drop your coin collections into the event. Please only drop TB's/Coins that specifically want to move via other cachers or 1 personal TB or Coin.
There will also be the start of a TB race conducted by VAEaglesFan.  Here are the details:

All Travel Bugs to be entered in the race must be new; that is, they must not have been dropped into any cache prior to the 6th Annual GCHR Picnic Event cache, so they will all have the picnic as a common starting point. Geocoins can be entered in the race and will be treated as Travel Bugs. 

All racing TBs and Geocoins (Entrants) should be dropped into this 6th Annual GCHR Picnic cache page prior to August 30th.You can have as many Entrants as you like. There WILL NOT be travel bug tags available at the picnic. Tags can be purchased at Groundspeak.com.

Please include a picture of your racer on your travel bug page, and give it a goal of winning the GCHR Travel Bug Race so everyone will know to move it as fast and as far as they can!

 All Entrants MUST be turned into the Travel Bug Race box at the Picnic no later than 1:00 PM. Don't take them to the travel bug trading table.  Volunteers wanting to pick up race Entrants should sign in with TB race coordinators (VAEaglesFan and sidekick) by 2:30 PM. Preference will be given to volunteers who do not have an Entrant in the race. At 3:30, all Entrants will be distributed to the volunteers who have agreed to move them to their first cache.

 Owners of the Entrants in the race are expected to show good sportsmanship with regard to other Entrants. This means that if you find another TB/Geocoin which is entered in the race, you will take no action that will unreasonably hinder the Entrant's movement. This includes, but is not limited to, picking up and holding the Entrant or placing it in an exceptionally difficult or rarely visited cache. Owners of the Entrants are not permitted to move or hold their own racers.

 The race will end on April 1, 2009. The standings will also be posted on the Virginia Geocachers web page approximately monthly, and at the end of the race.  A TB race page will also created where you can follow the racers in near real time.

 There is a $2.00 fee per Entrant that will be used for the prizes. The more Entrants racing, the larger the prizes.

Prizes to be awarded at an event TBD.
Entrant which logs the most miles. TB/coin must still be active at end of race.
Entrant which logs the least miles. TB/coin must still be active at end of race.
First Entrant to go MIA.

New Caches:

Cache placements are open to anyone who would like to place a cache in Newport News.  To have a new cache included in the booklet for the event, the cache must be published on www.geocaching.com one week before the event.  Please allow time to get your permit (which is required for all placements in NN Park) and for it to be reviewed and published.

How can you help??? Here are a few suggestions:

  • Bring a pot luck dish to share
  • Consider contributing coolers full of drinks (ie: water, sodas, etc…)
  • Donate a door prize - anything geocaching related, or outdoor related would be good.

Attention Camping Cachers!
It is Labor Day Weekend! We have taken the liberty of reserving 25 camping sites at Newport News Park. We have scoped out and secured the best sites available on the best loop (loop ”B”). If you would like to secure a site for Friday and/or Saturday and/or Sunday night please contact CraZy Cache. Campsites are first come first serve. All sites are equipped with water and electric and will accommodate either a camper, a pop-up, or two tents. All sites have a maximum of 5 people or 1 family per site. Sites are $31/night.
